How to switch accountants in Spain without losing your records.

What to gather before switching and how to agree who handles each open item.

2 min read

Before the handover

  • List your documents and outstanding work.
  • Agree in writing who handles each open tax return.
  • Keep copies and filing receipts somewhere you control.

Before switching

Start by listing what your current accountant or gestoría handles: income and expense records, tax returns, notices and open service requests. That gives both sides a concrete handover checklist.

Check your agreement and ask how leaving works: the handover date, records they provide, unfinished work and any cost you need to confirm. Keep the response in writing.

What to request

Create a folder for your activity’s records. Your exact checklist depends on your tax profile, but these are useful starting points for a conversation with the new accountant:

  • Registration details and changes to your tax profile.
  • Copies of filed returns and their actual filing receipts.
  • Income and expense books or exports.
  • Issued and received invoices for the open period.
  • Documents used for your last annual Renta return.
  • Open notices, requests and other outstanding work.

Agreeing the handover date

Agree a clear handover date with both accountants. Make sure every open task has an owner and no work is duplicated.

Before finishing the handover, confirm which records are missing, who provides them and when. Review the authorisations and connections your previous accountant used; agree which should end and which the new accountant needs.

The current quarter

A handover date alone does not establish who files the current quarter. Agree that explicitly, including returns already prepared, awaiting review or still to be started.

Share the full period of records your new professional needs, along with the previous returns they request. If an invoice is missing or a notice is open, include its documents and the deadline shown on the notice.

Switching to Melso

Tell us what you do and what remains outstanding. We prepare the checklist with you, review the information you provide and confirm the scope and any cost before starting.

We agree with you how to obtain previous records and who handles the current quarter. For included returns, Melso and its professionals prepare and review the draft, you approve the exact version in the app and we file it. The actual receipt from Spain’s tax agency, the AEAT, is the evidence of filing.

A clear handover from the start.

Documents, open work and responsibilities agreed with you.
